Companies, contracts and multi-company organisation

Updated on 11/4/2026 updated in release 1.19.0

A Softic GMAO instance can bring several companies together: the asset owner (for example the site operator) and one or more maintenance contractors who prepare and execute interventions under contracts (Onshore, Offshore, general). The system thereby distinguishes everyone's responsibilities.

Companies

Administration > Companies and contracts > Companies: code, name, type (asset owner or contractor), country, contact. Each user is attached to a company (Administration > Users), with their position in the organisation (Maintenance Superintendent, CSR, Team Leader, Supervisor, Methods Engineer, Technician...) and their discipline (mechanical, electrical, instrumentation, HVAC). Teams also carry their company and discipline.

Maintenance contracts

Administration > Companies and contracts > Contracts: code, name, type, asset owner, contractor, period, covered sites and covered disciplines (empty = all). An inactive or expired contract no longer gives access to the sites.

Visibility scope

A user of a contractor company only sees the sites of its active contracts: the site selector only offers those and "all sites" does not exist for them. Asset owner users and administrators see everything. Attaching a user to a specific site (Onshore or Offshore) narrows their scope further, including on mobile.

Double approval

Approval circuits accept an approver's company on each step: for example "Supervisor at the contractor" then "Supervisor at the asset owner". This is how the contractor → owner sequence is formalised for requests, permits and shutdowns (and, with the next lot, for maintenance programmes and acquisition requests).

Work orders

Each work order can be attached to the contract under which it is executed, in addition to the team and discipline. The Crew field lets the supervisor name the technicians, workers or roustabouts who do not use the application; they appear on the printed sheet and in reports.

SaaS console (SOFTIC)

On SOFTIC's hub instance, the Softic role has the SOFTIC > Tenants menu: registry of client instances collected through their MCP server (version, users, storage, month billing, AI budget), suspension and resumption of a tenant's service, import of the provisioning registry, instance creation command, and Consolidated billing of all tenants per month (snapshots frozen on the 1st, Excel export).

SaaS mode and billing

In SaaS mode, SOFTIC bears the hosting, storage and artificial intelligence costs and bills them to the client. Administration > AI costs shows the month's billing summary: instance subscription, active users, measured storage (attachments and database, included volume and overage) and billed AI. Rates are settings of the SaaS billing category.
