Getting started with Softic GMAO
Softic GMAO is SOFTIC's computerised maintenance management system, designed for industrial operators (oil and gas, energy, process industries) and EPC projects. This manual describes each module in the order you will meet them; the ? button in the top bar opens the chapter matching the current screen, and the AI assistant knows this whole manual: ask it your "how do I" questions.
Signing in
Open the address of your instance (for example https://gmao.softic.io) and enter your e-mail address and password. The first administrator is created at installation; they then create the other accounts in Administration > Users (see the Administration chapter). After five failures, the account is locked for fifteen minutes.
Each user has one or more roles that determine what they can do:
| Role | What it allows |
|---|---|
| Requester | create and follow work requests, consult assets |
| Technician | execute work orders (steps, labor, parts, readings, photos), sign permits as performer |
| Planner | plan and release work orders, manage task lists, preventive plans, stock, shutdowns, KPI targets |
| Supervisor | approve permits, validate requests, freeze shutdowns, decide in approval circuits |
| Administrator | everything, including organization, users, settings and integrations |
| Softic | SOFTIC's internal view of AI costs (raw cost, margin); reserved for the SOFTIC team |
Finding your way
- The sidebar groups the modules: Assets, Maintenance, Work, Stock, EPC, Reliability, AI agent, Administration. It collapses with a click on its edge to save space.
- The site selector at the top filters almost every screen: asset tree, work orders, KPIs, stock. A user attached to a site only sees that site.
- The bell shows your notifications (expected approvals, SCADA alerts, escalations); a click opens the relevant screen.
- The user menu (initials at the top right) lets you change language (French, English, Arabic, Portuguese), light or dark theme, and sign out. Arabic switches the display to right-to-left.
- The search (
/key or the field at the top) finds an asset by tag or name, a work order by number, a part by code. - Ask the assistant (Softic AI button) opens the assistant in a side panel; it reads the CMMS (assets, work orders, stock, KPIs...) and can create a work request or record a reading on your behalf. Its availability depends on activation by the administrator and on the month's AI budget (see the Assistant chapter).
The dashboard
The home page summarises the selected site: open, overdue and today's work orders; new requests; active permits; shutdowns in progress; pending approvals; SCADA alerts of the last seven days; preservation tasks due; work orders by status and by type; latest work orders. Every tile is clickable and opens the filtered list.
Common conventions
- Lists have filters at the top (site, status, period) and an Excel export where relevant.
- A number (OT-2026-000123, DI-2026-000045, PT-2026-000012...) is assigned automatically at creation and never changes.
- Records (asset, work order, permit, shutdown, project) open in the main screen; the back button returns to the list with its filters.
- Dates are displayed in the site's time zone; times entered on mobile are converted automatically.
- Every important action is traced (who, when) and visible in the record's timeline.
