Work orders
The work order (OT) is the steering unit of maintenance: what must be done, on which equipment, by whom, when, with which means, and what was done.
Types and lifecycle
Types: Preventive (from a plan), Corrective (from a request or created directly), Inspection, Modification, Shutdown (linked to a planned shutdown).
Statuses, in the normal order:
- Draft: being written;
- Planned: planned date, team or technician assigned;
- Released: ready to start, visible on mobile for the assignees;
- In progress: work has started (actual start date time-stamped);
- On hold: suspended (missing part, expired permit, higher priority); it returns to In progress;
- Completed: work finished, report entered;
- Closed: validated by the planner, no further change; KPIs take it into account.
Cancelled is possible as long as the work order is not completed. The record's buttons only offer the allowed transitions.
Creating and planning
Work > Work orders > New work order: site, equipment, type, priority, title, description, task list (its steps and parts are copied), team and technician, planned dates, estimated duration, permit required. The list filters by site, status, type, priority, period and assignment; the Excel export reflects the displayed columns.
The work order record
- Steps: the checklist from the task list, ticked as you go; checkpoints receive the measured value and a remark; progress is shown in the header.
- Labor: hours spent per person and per day; they feed the maintenance cost of the KPIs (hours × configured hourly rate).
- Parts: planned and consumed parts; the stock issue is recorded when the consumed quantity is validated (Issue movement on the site's warehouse).
- Permits: the linked work permits and their status; a work order flagged permit required cannot move to In progress without an Active permit.
- Documents: before/after photos, reports, certificates; photos taken on mobile arrive here.
- Failure report (corrective work orders): failure mode, cause, remedy, production downtime hours; these data feed MTBF, MTTR and availability.
- Timeline: every status change with the author, the time and the note.
Completing and closing
At Complete, enter the downtime hours (if the equipment was unavailable), the closing notes and, for a corrective work order, the failure report. The planner Closes after checking; closing freezes the work order and updates the last execution of the originating preventive plan, which recalculates its next due date.
Printing
Print produces the work order sheet as a PDF (header, steps to tick, parts, signature boxes) for teams that work on paper.
