  1. Getting started with Softic GMAO

Softic GMAO is SOFTIC's computerised maintenance management system, designed for industrial operators (oil and gas, energy, process industries) and EPC projects. This manual describes each module in the order you will meet them; the ? button in the top bar opens the chapter…

  2. Assets and equipment

The asset register describes everything maintenance looks after: from the installation down to the maintainable item, with their meters, documents and criticality. Everything else in the CMMS is attached to it: preventive plans, requests, work orders, permits, KPIs.

  3. Task lists and preventive plans

Preventive maintenance relies on two objects: the task list (what to do) and the plan (when to do it). The CMMS then generates the work orders at the right time.

  4. Work requests

The work request (DI) is the entry point of every unplanned need: an operator notices an anomaly, a technician reports wear, a SCADA alert exceeds a threshold. It is reviewed and then converted into a work order.

  5. Work orders

The work order (OT) is the steering unit of maintenance: what must be done, on which equipment, by whom, when, with which means, and what was done.

  6. Work permits and isolations

The work permit frames a hazardous intervention: it lists the hazards, the precautions, the protective equipment, the isolations to perform, and carries the signatures of those responsible. Softic GMAO manages it from draft to closure, on the site and on mobile.

  7. Shutdowns

A planned shutdown (turnaround, annual shutdown, unit outage) groups a set of work orders to perform during an unavailability window. Softic GMAO steers its scope, its freeze and its progress.

  8. Stock and parts

The Stock module follows spare parts and consumables: catalogue, levels per warehouse, movements, consumption on work orders, and flags parts below their reorder point.

  9. EPC handover and installation transfer

For construction or modification projects, the EPC module (EPC > Handover projects) follows the reception of equipment from the contractor's register up to its transfer to operations in the CMMS, or to the client's CMMS (SAP PM, Maximo).

  10. Automatic meters (SCADA)

Equipment meters (running hours, starts, cycles) can be fed automatically from the control system, without manual entry, and raise alerts when a threshold is exceeded.

  11. Approval circuits and notifications

Approval circuits formalise validations: who must approve a request with a safety impact, a hot work permit, the freeze of a shutdown, in which order and within which delay. They are fully configurable by the administrator, without development.

  12. KPIs and reliability

Reliability measures the site's maintenance performance over a period (3, 6, 12 or 24 months), compares it with the targets and highlights the worst-performing equipment.

  13. Softic GMAO mobile application

The mobile application (Android and iOS) is meant for technicians in the field: their work orders, meter readings, photos, permits and work requests, with or without network. It also works on rugged terminals with a barcode scanner.

  14. AI assistant, agent and costs

Softic GMAO integrates artificial intelligence in two ways: a conversational assistant available to every user, and an analysis agent that prepares proposals for the planner. Both are measured and capped by a cost control.

  15. Companies, contracts and multi-company organisation

A Softic GMAO instance can bring several companies together: the asset owner (for example the site operator) and one or more maintenance contractors who prepare and execute interventions under contracts (Onshore, Offshore, general). The system thereby distinguishes everyone's…

  16. PM programmes, acquisition requests and activity reports

Three objects formalise the relationship between the maintenance contractor and the asset owner: the PM programme (what will be done in the period), the RIA (what must be bought to do it) and the activity report (what was done). Each follows an approval circuit, typically…

  17. Administration

Administration screens are reserved for administrators (some are open to planners). They structure the instance: organization, reference data, users, settings, integrations.

  18. Glossary

Asset: any element of the register, from the installation to the maintainable item. Equipment: the level that carries meters, criticality and history.
