Assets and equipment

Updated on 11/4/2026 updated in release 1.19.0

The asset register describes everything maintenance looks after: from the installation down to the maintainable item, with their meters, documents and criticality. Everything else in the CMMS is attached to it: preventive plans, requests, work orders, permits, KPIs.

The asset tree

Assets > Asset tree shows the site as a six-level tree: Installation, Unit, System, Equipment, Sub-unit, Maintainable item. Each node carries a tag (functional identifier, unique on the site, for example P-201A), a name, an equipment class, a status (in service, out of service, spare, decommissioned), a location, the manufacturer, the model and the serial number.

  • Select a node to display its record on the right; the search at the top of the tree finds a tag or a name.
  • New adds a node under the selected node; the proposed level is the next one, and can be changed.
  • An inactive node remains visible in the history but can no longer receive work orders.
  • The Excel import (Import button) loads a complete register: tag, name, parent, level, class and location columns; the template can be downloaded from the same screen.

The equipment record

The record's tabs group everything about the equipment:

  • General: identification, class, status, location, manufacturer data, commissioning and warranty dates.
  • Meters: running hours, cycles, kilometres... Each meter has a unit and a current value; the Reading button records a new value (a cumulative meter refuses a value lower than the previous one). Readings come from manual entries, the mobile application, the API or SCADA sources; they trigger meter-based preventive plans.
  • Parts: the associated spare parts, with their quantity per equipment (maintenance bill of materials).
  • Documents: drawings, manuals, certificates, photos. Drag and drop adds a file; images get a thumbnail, PDFs open in the application. A photo can be set as the main picture.
  • History: the equipment's work orders and requests, failure reports, with direct access to each record.
  • Criticality: the result of the assessment (see below).

Criticality

Assets > Criticality assesses each equipment with a probability × consequence matrix (safety, environment, production, cost). The score ranks the equipment as A (critical), B (high), C (medium) or D (low); the thresholds are settings (Risk.ThresholdA/B/C). The class is shown in work order lists, in KPIs and used by the AI agent to prioritise its proposals. Unassessed equipment appears first so that it is not forgotten.

QR labels

Assets > QR labels prints a sheet of labels for a site or a unit (two to five columns, sub-units optional). The code contains GMAO:<tag>: read by the mobile application (camera) or by the scanner of a rugged terminal, it opens the equipment record, its meters or the creation of a request directly.

Good practice

  • A tag must be stable and readable in the field; the name may change, the tag must not.
  • Fill in the equipment class: it carries the preservation tasks, the KPI targets per class and the reliability analyses.
  • Assess criticality before building preventive plans: the intervals of class A equipment deserve more rigour.
