The project portfolio and the company experience
Menu Project portfolio (Radar group). The company's completed and ongoing projects are synchronised from SOFTIC Intranet into Softic.Tender and can be completed or corrected here: reference, title, year, client, country, region, domain, dates, value, team. It is the company's real experience, put at the service of every tender.
On a tender sheet
The Company experience · similar projects section shows:
- the similar projects of the portfolio, with their similarity (0-100) and its reasons: same sector, same country, same client, shared technical terms, comparable value, recent project;
- the comparable past tenders of the application (submitted, won, lost) with the win probability predicted at the time, and the win rate on those similar tenders;
- the roles mobilised on the similar projects (people per function), to compose the bid team;
- the resulting references level.
The Open in the portfolio link opens the portfolio page ranked by similarity with this tender.
The "Similar references" criterion
When the references level is not entered on the sheet (choice Automatic — from the project portfolio), it is derived from the experience: Strong as soon as one project is a very close match (similarity ≥ 75) or two projects match clearly (≥ 60); Some as soon as one project matches (≥ 45); None otherwise. Won tenders count as projects. The corresponding sub-score (35, 60 or 90) enters the Win probability axis with the criterion's weight.
A level entered by hand (Some or Strong) keeps priority; the sheet then shows what the portfolio suggests. To force a precise value, the sub-score can be overridden like any criterion.
The Project portfolio page
- Search on reference, title, description, client, region or a team member's name; filters by domain, country, year and origin (received from SOFTIC Intranet or entered in Tender); Show inactive projects box.
- The status line gives the number of active projects, those entered here, the inactive ones, the date of the last synchronisation and, when relevant, the projects absent from the latest intranet update and the domains / countries to check (not matched to the reference data — a click lists them).
- A click on a row opens the project record: description, notes, dates, value, and the team with, for each person, the function, the source (project organisation, design team, entered in Tender) and the status (current / former assignment).
- From a tender sheet, the page opens ranked by similarity and shows, for each project, why it matches.
Adding or editing a project
Roles that edit tenders (bid officer, management, administrator) see the New project button, the Edit button on each row and, in the record, Add a person, the per-member actions, Deactivate / Reactivate, Protect and Delete.
- A project entered in Tender is yours: the synchronisation never touches it. Should it one day arrive from the intranet with the same reference, it is adopted: its fields are completed by the intranet, your notes are kept.
- A project received from SOFTIC Intranet can be corrected too. If you change a field the intranet provides (reference, title, client, country, dates, value…), the project becomes protected: the intranet will no longer overwrite it. Notes, activation and the matching to the reference country and sector can be corrected without protection — they are never overwritten.
- Protect / Let the intranet update: protection can be set or removed at any time. Deactivate removes a project from similar projects and from the score without deleting it. Delete only applies to projects entered in Tender.
- A project that disappears from the latest intranet update is kept and marked No longer in intranet: experience remains experience.
- Assignments received from the intranet are corrected or completed the same way; a person added here carries the source Entered in Tender.
Softic IA
The assistant answers "have we already done…", "our references in…", "who worked on…", "why is the References criterion at this level?" questions from the portfolio and the tender history, citing project references. When you ask for its opinion on a tender, it grounds it in this experience: comparable projects, past outcomes, what is missing, then a recommendation. The Softic IA briefing of the tender watch does the same for the notices that matter most.
Administration
Administration → Platform → Project portfolio: location of the file received from SOFTIC Intranet, retained company, ignored domains (by default Projets Internes: those projects are received but inactive), minimum similarity, automatic references level, upload key for automatic sending by the intranet, Synchronise now, status and synchronisation history (rows read, inserted, updated, protected, absent, deactivated). Countries and domains are recognised with the country aliases and sector keywords of the settings: an unrecognised domain is fixed by adding a keyword, or directly on the project in the Portfolio page.
