Administration: accounts, platform, costs

Users

Menu Administration > Users. Account creation (e-mail address, display name, initial password, roles), deactivation (the account keeps its audit history) and deletion. An administrator cannot remove the last administrator account. The Softic role (publisher) is visible and assignable by SOFTIC only.

Platform

Menu Administration > Platform.

• Instance identity: the company shown in the top bar and passed to SOFTIC Intranet. The instance code and name are set by SOFTIC.

• Softic AI: enabling the assistant, maximum answer length, whether free text is shared, additional instructions (company vocabulary, priorities). The service access key, model and service address are entered by SOFTIC; the key is encrypted and never displayed again. Test connection checks the configuration with a short call.

• Outgoing mail: SMTP server, port, security (StartTls for port 587, SslOnConnect for 465), account and password (encrypted), sender address and name. Send a test message checks the configuration.

• Weekly watch report: enabling, day, hour and time zone, recipients (semicolons), minimum score, deadline window, number of rows, attached Excel workbook, Softic IA briefing, language, public site address (record links in the e-mail), subject ({date} and {company} are replaced). Send now sends the report to the configured recipients; the sending history (date, trigger, status, number of tenders and of new ones, failure reason) is shown next to it. A missed occurrence — site stopped at the scheduled time — is caught up on restart.

• Scheduled collection and display: the site itself collects the sources whose interval has elapsed (check cadence in minutes); number of days during which a notice is "new" when no report has been sent yet; refresh cadence of the Watch page. Under IIS, the pool must be set to auto-start and the site preloaded for these jobs to run without a visit (deploy\Set-IisAlwaysRunning.ps1).

AI costs

Menu Administration > AI costs. For the chosen month: billed amount, budget, tokens used, breakdown by day, by user and by model, last six months, and the instance's monthly statement (subscription, active users, re-billed AI).

Settings: monthly budget in USD (0 = unlimited), alert threshold in %, suspension of the assistant when exceeded, display currency and conversion rate from USD. The CSV export opens in Excel.

SOFTIC additionally sees the provider cost and the margin, and manages the price list (USD per million tokens, per model), the margin rate and the statement rates.

Formulas

• cost = Σ (tokens × price) / 1,000,000, in USD, from the price list of the model used;
• billed amount = cost × (1 + margin / 100);
• display = billed amount × USD rate → currency.

SOFTIC Intranet

Menu Administration > SOFTIC Intranet. The link between the instance and SOFTIC Intranet (single sign-on, display in an intranet tab) is configured here and nowhere else: link enabled, public address of the intranet, application code (TENDER), shared secret (encrypted, never shown again), roles excluded from single sign-on. The settings are read on every request: immediate effect, no restart or publishing. The page shows the arrival path to declare in the application record on the intranet side, the steps to follow, and the address of the public state of the link.

A former SofticIntranet section of appsettings.json is imported once at startup, then ignored.

When the instance is linked, users open Softic.Tender from the intranet through single sign-on, in the intranet's language and theme. Accounts are still created here: an intranet user without an active Softic.Tender account is refused. The SOFTIC account always signs in with a password.
