Deals: from detection to delivery
Menu Radar > Deals. The board shows every tracked tender in the column of its stage, from detection to contract. Stages are your organisation's (Administration > Deals); by default: Qualified, Go / No-go, In preparation, Submitted, Won, Lost, Contract / Delivery. Merely detected notices, closed deals and archives take no column; the final columns keep only recent deals ("final columns" setting).
Reading the board
- Card: reference, title, client, country, score (colour), deadline or outcome, days spent in the stage, owner's initials. An orange edge and chips flag alerts: unassigned, decision due, internal deadline soon / imminent / passed, expired without bid, outcome overdue.
- Indicators: tracked deals, alerts, in preparation, submitted awaiting outcome, won over the period, no further action.
- Filters: search (reference, title, client), owner, My deals.
- Grid: the same list as a table (sort, filter, group by stage, Excel export).
- Clicking a card opens the sheet.
Tracking a deal (tender sheet)
The Deal tracking panel of the sheet carries the stage bar (with the date each stage was reached), the owner, the go / no-go decision, the internal deadline, the contract and the deal log.
- Take ownership (bid officer, also from the watch and the board): you become the owner; the notice moves to Qualified.
- Assign… (commercial management): designate or remove an owner.
- Move to "…" / Change stage…: move forward or back; a step back requires a comment (configurable). Submission, outcome and closing have their own buttons.
- Decide… (commercial management): Go (moves to preparation, internal deadline suggested), No-go (closed, with a reason), Deferred (revisit date). Without a Go decision, preparation is not reachable while the decision stage is active.
- Internal deadline: the date the bid must be ready, ahead of the client's deadline; alerts derive from it.
- Confirm submission: freezes the win probability (calibration).
- Won / Lost / Unsuccessful (commercial management, after submission): the outcome feeds calibration; unsuccessful (cancelled by the client) is recorded without weighing on it.
- Sign the contract… (won deal): date, amount; the deal moves to Contract / Delivery.
- No further action… (before submission): reason required; the deal remains readable and can be reopened. Archive and Reopen stay under the sheet.
- Comment…: a dated note in the log.
Log
Every action is traced: date, author, stage from and to, decision, owner, deadline, contract, comments. The technical audit log remains available to the administrator.
Configuration (administrator)
Administration > Deals: stages and reasons: rename (four languages), reorder, colour, enable or add stages; define those requiring the decision right or a comment; reasons for no further action / no-go and for loss; alert thresholds, self-assignment, comment on step back.
Preparing the bid (lot F2)
Checklist. As soon as a deal enters preparation (Go decision), the list of items to gather is applied from the best-matching template (service category, country, otherwise the "Standard" template); each item has its category, its due date (D-n before the internal deadline) and whether it is required. Tick items as you go (who, when), add a deal-specific item, remove what does not apply, reapply a template without duplicates. Progress (done / total) shows on the board card; an incomplete checklist close to the internal deadline raises the "Checklist incomplete" alert.
Drag and drop. On the board, a card can be dragged from one column to another: it is the same "change stage", with the same rules (a Go decision before preparation, a comment when stepping back, submission and outcome through their own buttons). A refused move says why.
Partners, price, competitors. The bid partners (consortium, subcontractors) are noted on the sheet; at submission, the submitted price, its currency and the competitors present at bid opening can be entered; at loss, the reason, the awardee and its price. These facts feed the log and, later, the indicators.
Deadline postponement. When the client postpones its deadline, Postpone deadline… changes it with a mandatory comment; the internal deadline is reset if it exceeded the new date.
Email alerts and automatic closing (lot F2)
Daily digest. Enabled in Administration > Deals, an email goes out every day at the chosen hour, once per person: their own deals on alert first, then, for sales management, those without owner, expired or awaiting a decision. Copy addresses receive everything. Send me the digest now shows yours without waiting. Language and time zone: those of the weekly report.
Automatic closing. A deal not submitted whose client deadline passed more than N days ago (setting, 0 = never) is closed as "Deadline passed" by the scheduled job, with a log line; it remains visible and can be reopened.
