The tender record

Updated on 11/4/2026 updated in release 1.8.4

Opened from the radar or the pipeline. It gathers everything the application knows about the tender.

What the record shows

  • Facts: deadline, publication, budget (announced or estimated), funder, source and link to the notice, contacts, summary.
  • Score: the composite badge with both axes and the quadrant, then the breakdown criterion by criterion: weight, value, contribution. A banner indicates when a calibration bias is applied.
  • Company positioning: presence in the country, track record, competition, prequalification, client relationship — the facts the rule engine turns into sub-scores.
  • Documents: attachments (bidding documents, specifications, addenda), stored outside the website and served only to authenticated users.
  • Status and history: open, submitted, won, lost, abandoned, archived.
  • Company experience: the similar projects of the portfolio (synchronised from SOFTIC Intranet), the comparable past tenders and the roles mobilised; the score's references level is derived from them when it is not entered (see the Project portfolio chapter).

The Ask Softic AI button opens the assistant with this record as context.

Entering or editing a tender

Edit button (bid officer or above) or New tender from the radar. The form recomputes the score live in the right pane: every change of country, sector, budget or positioning updates both axes.

A sub-score can be overridden by hand on the record; it is then flagged as an override and no longer recomputed by the rule engine.

Submitting a bid

Submit bid button: enter the submission date and a note. The tender leaves the radar for the pipeline, and the current win probability is frozen: it will be used for calibration.

Recording the outcome

From the pipeline or the record: Won or Lost, with the date and a note. Each outcome refines the model's calibration.

Deleting

Deletion is logical: the record disappears from the lists but remains in the audit log, where every score or status change is traced to its author.
