Importing documents

Updated on 11/6/2026

Invoices > Import: invoices and credit notes coming from an ERP or invoicing software. Each imported document becomes a draft that then follows the normal cycle (Check, Issue, Sign, Submit). Nothing is issued automatically.

Accepted formats

  • Excel or CSV, Softic.Invoice template: one row per document line, header columns repeated, columns in any order. Download the Excel template from the screen: it holds a sample invoice and a help sheet describing each column.
  • JSON: the Softic.Invoice API format.
  • UBL 2.1 (EN 16931, Peppol): invoices and credit notes.
  • The format is detected automatically; you can force it.

Rules

  • External reference (ExternalRef, the document number in the ERP): a re-imported document is updated while it is a draft and skipped once issued.
  • Customer: matched by code, then tax id, then name. Unknown customers are created when "Create unknown customers" is ticked and a name is supplied; the country rules apply (tax id format).
  • Item: reused by code when it exists (unit, description, default VAT); otherwise the line stays free.
  • VAT: by company tax code, otherwise by rate; unknown, the line is refused. Same for an additional tax.
  • Credit note: the original invoice must exist and be accepted.

The report

Each document shows its status: Created, Updated, Skipped (already issued) or Failed with the reason and the location in the file (row). Open leads to the draft. Accountants, entry clerks and administrators can import.
